Recruitment INTERNAL Position Title ADMIN ASST TO AVP/DIRECTOR OF
ATHLETICS Position Summary Performs a variety of complex and
confidential duties for the Associate Vice President ( AVP
)/Director of Athletics ( DOA ). Responsible for the supervision
and management of the staff in the main Athletics office. Acts as
an administrative assistant and coordinator for projects, events,
and operational functions that require a high level of independence
and autonomy. Acts a liaison with the community, leadership, donors
and others as needed. Required Qualifications
Bachelor's degree or an equivalent combination of experience and
completed education that equates to four years.
Three years of related work experience.
Experience with Word, Excel, PowerPoint and Outlook.
Demonstrated ability to prepare written materials such as reports,
organizational charts, spreadsheets, letters, and
presentations.
Demonstrated ability to act with a high level of independence.
Demonstrated ability to maintain positive interpersonal
relations.
Demonstrated ability to communicate effectively, both verbally and
in writing.
Demonstrated ability to multi-task and meet multiple deadlines.
Demonstrated problem solving skills.
Ability to work evenings and weekends as needed.
Ability to perform the essential functions of the position with or
without reasonable accommodation. Preferred Qualifications
Event coordination experience for executive and high-end donor
functions.
Ability to understand and use the enterprise financial system in
SAP .
Knowledge of NCAA and Intercollegiate Athletics. Duties &
Responsibilities
Responsible for a broad array of administrative and operational
functions directly related to Athletics and the Associate Vice
President/Director of Athletics.
Acts as a liaison with donors, head coaches, assistant coaches,
staff, community, university leadership, Mid-American Conference
office, as well as athletic directors nationwide on a variety of
topics and issues.
In addition to the AVP / DOA , provides administrative support as
needed to six executive staff in Athletics.
Oversees logistics for the Associate Vice President/Director of
Athletics and provides backup for executive staff.
Plans, coordinates, and organizes events for the Athletic Director
suite and club space.
Monitors special projects and assignments that are complex in
nature where considerable judgement and initiative is needed in
resolving problems and making recommendations.
Provides Presidential meeting support (agendas, subject briefs,
reports, etc.) for the AVP /Director of Athletics.
Develops documents and presentation materials for the Board of
Trustees and President's Cabinet Meetings.
Develops documents and presentation materials for Athletic
department, Mid-American Conference, Athletic Leadership and NCAA
Meetings.
Prepares agendas, takes minutes and follows up on actions items for
several committees such as the Athletics Committee, Gender Equity
Committee, and other athletic committees.
Coordinates Athletics reporting to include departmental unit
reports and executive operations reports.
Ensures deadlines for Associate Vice President/Director of
Athletics are met for reports, information requested, etc.
Maintains current knowledge of the university's and athletics
strategic direction and overall mission.
Develops and manages Associate Vice President/Director of Athletics
unit budget, including reconciling and processing travel
reimbursements for PNC procurement credit cards for AVP
/Athletics.
Coordinates all internal communications in collaboration with
Athletics Communication, University Communications and
Maestro/Listserv announcements.
Evaluates, analyzes, and recommends operational and process
improvements and solutions.
Assists with administrative tasks involving high volume of complex
decisions to relieve administrators of matters of detail.
Uses mature judgment, makes informed decisions, exercises a high
concern for detail, confidentiality, and timeliness; uses
appropriate discretion to deal with complex, private and sensitive
issues.
Receives and screens communication not requiring the immediate
personal attention of the AVP / DOA , using independent judgment to
determine order of priority.
Maintains historical and current files for AVP /Director of
Athletics.
Manages office functions to ensure smooth operations, which
includes supervising an Executive Secretary and the hiring and
oversight of student assistants.
Performs other duties as assigned. Supervision Exercised
